About Firecrest Films:
Firecrest Films is an independent television production company based in Glasgow that produces programmes for UK broadcasters and for worldwide distribution. The main office is at Fairfield, 1048 Govan Road, Glasgow, G51 4XS
The company is committed to protecting the privacy of others and complying with all relevant data protection laws and regulations. The company Data Controller is Emma Curtis, Director of Production.

What personal data do we collect, and why?
We collect and process personal data to allow the company and its production teams to operate effectively. The company has one Data Controller, but your data will be processed by a number of members of the production team, in line with the following principles:
1. Personal data should be processed lawfully, fairly and in a transparent manner.
2. Personal data should be collected for specified, explicit and legitimate purposes.
3. Personal data should be adequate, relevant and limited to what is necessary.
4. Personal data should be accurate and up to date
5. Personal data should not be kept for longer than is necessary for the purpose
6. Personal data should be processed in line with a UK GDPR lawful basis
7. Personal data should be secure
8. Personal data should not be transferred to other countries without adequate protection
Personal data is defined as data which relates to a living individual. The forms of personal data most commonly processed will include:
- Contributor personal details, such as, name, gender, age, date of birth, address and contact details (e.g, email address and telephone number), handwriting as well as other basic details to be processed/used for ongoing liaison between the production team and the contributors regarding consent, keeping in touch and information regarding broadcast.
- Details of a contributor’s background, including information about past and present personal, home and family life, so the team can prepare for interviews and be aware of any issues that may impact broadcast.
- Details from background checks on contributors including social media and internet searches. This is to check there are no issues that would impact on suitability for broadcast. This includes any safeguarding issues or criminal convictions.
- Background checks for any safeguarding issues or criminal convictions that would impact on suitability for broadcast.
- Details regarding diversity, which are processed to monitor compliance with the company’s own diversity policy as well as broadcaster and industry monitoring.
- Personal data recorded on camera and contained on footage filmed for a series (or provided by a third party to us in connection with the series) including image and voice and potentially a very wide range of personal information relating to an individual revealed by them and others. Any personal data included in recorded material will be assessed and processed under the UK GDPR lawful bases or as Special Category Data, where relevant.

Sharing your personal information
Your personal information is processed by our employees and staff. Sometimes we use third parties who are contractually engaged to provide services to us that may involve the sharing of personal information e.g. IT services, legal and accountancy services. We also may need to share your personal information with other organisations from time to time including with:
companies involved with our business activities e.g. broadcasters, post-production houses, distributors
- broadcasting regulators e.g. Ofcom;
the police or other regulatory bodies as required by law in connection with the investigation of crimes.
Although based in the UK, we may need to transfer your personal information to organisations outside the European Economic Area (EEA).
Wherever your information is transferred to organisations outside the EEA, we will ensure that adequate safeguards are in place to ensure the safety and security of your personal information and that it is processed in accordance with this Privacy Notice.
How we store your personal information
We have implemented appropriate measures to ensure that your personal information is kept safe and secure e.g. by storing it securely, and by keeping electronic data on secure servers and hard drives with appropriate levels of security including encryption and firewalls. However the internet is an open system and we cannot guarantee that unauthorised third parties will never be able to defeat those measures.
We will only keep your personal information for as long as we need to. For those participating in our programmes, we are likely to retain your personal information for as long as is necessary in order to produce, exhibit, exploit, distribute, advertise, publicise and promote the programme in accordance with our legitimate interests and legal obligations. Personal information that is no longer required will be deleted/destroyed.
Your rights
You have a number of rights in respect of your personal information being processed, including the right to request:
access to the personal information that we hold about you;
- that we do not process your personal information for direct marketing purposes;
- that inaccurate personal information we hold about you is corrected;
- that personal information is deleted;
that your personal information is provided to you in a portable format.

Note that most of these rights are not absolute and are limited to certain defined circumstances. Accordingly, we may not be able to comply with any such request.
If the basis of our processing of your personal information is ‘consent’ you have the right to withdraw your consent at any time. However, note that your data may be being processed subject to another lawful basis as set out above.
